<p>Position Overview:</p><p>As an Administrative Assistant with Vendor Management in the Background Verification (BGV) Industry, your primary role is to provide administrative support to the company's operations while also managing vendor relationships. You will play a crucial role in coordinating with vendors, ensuring timely service delivery, and maintaining effective communication to facilitate smooth background verification processes.</p><p>Key Responsibilities:</p><ol><li>Vendor Management: Identify, evaluate, and onboard new vendors who provide background verification services, conducting due diligence to ensure they meet the company's quality and compliance standards.</li><li>Vendor Coordination: Serve as the main point of contact for vendor communication, managing vendor contracts, performance evaluations, and addressing any issues or concerns that arise.</li><li>Service Level Agreement (SLA) Compliance: Monitor vendor performance and adherence to SLAs, ensuring timely delivery of background verification reports to meet client requirements.</li><li>Quality Assurance: Work closely with the quality control team to ensure that vendors follow proper verification procedures, maintaining accuracy and consistency in the information provided.</li><li>Vendor Payments and Invoices: Process vendor invoices, verify their accuracy, and coordinate with the finance team for timely payments.</li><li>Administrative Support: Assist the operations team in various administrative tasks, such as data entry, report generation, and document management related to background verification processes.</li><li>Database Management: Maintain and update vendor information and records in the company's database, keeping track of their performance metrics and compliance status.</li><li>Vendor Training: Organize training sessions and workshops for vendors to familiarize them with the company's processes, data security protocols, and regulatory requirements.</li><li>Issue Resolution: Collaborate with vendors to address any service-related issues, escalations, or discrepancies, ensuring swift resolution to maintain a positive vendor-client relationship.</li><li>Compliance and Regulations: Stay informed about relevant industry regulations and compliance standards pertaining to background verification, ensuring vendors are aware and in adherence.</li><li>Process Improvement: Continuously identify opportunities for process improvement within the vendor management function, proposing solutions to optimize vendor performance and efficiency.</li></ol><p>Qualifications and Skills:</p><ul><li>High school diploma or equivalent required; additional certification or relevant education is a plus.</li><li>Proven experience as an administrative assistant or in a vendor management role, preferably within the background verification industry.</li><li>Strong organizational skills and attention to detail to manage vendor relationships and administrative tasks efficiently.</li><li>Excellent communication and interpersonal abilities to liaise with vendors, internal teams, and clients effectively.</li><li>Proficiency in using office software, databases, and collaboration tools.</li><li>Knowledge of vendor management best practices and vendor evaluation criteria.</li><li>Familiarity with background verification processes, industry regulations, and data protection laws is advantageous.</li><li>Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.</li><li>Problem-solving skills to address vendor-related challenges and find effective solutions.</li></ul><p><br></p>
